The Australian Maritime Safety Authority (AMSA) is the national agency dedicated to promoting safety on Australian waterways, combatting ship-sourced pollution, and leading search and rescue efforts for vessels in distress. However, AMSA's finance operations were burdened by decades-old legacy systems, resulting in highly manual processes for expense creation, invoice reconciliation, and tracking approvals.
Xaana.Ai (Certified Integration, Implementation and Delivery Partner of SAP) implemented SAP Concur and connected Concur Expense, ExpenseIT, and Concur Request with TechnologyOne FMIS, Aurion, and Westpac Payment Gateway using Turium Algoreus. This phase was completed in just six months, ahead of schedule, despite the challenges posed by the COVID-19 pandemic.
The integration required re-engineering the Procure-to-Pay configuration and master data workflow to build a seamless system. AMSA required customisations for unique workflows, such as linking a complex corporate authorisation table to the approval workflow and reconciling a backlog of invoices to ensure accurate financial data which was achieved by mapping feature in Turium Algoreus
AMSA employees transitioned to the new system overnight, enabling paperless invoicing and digital workflows. The post-implementation phase included a roadshow to regional offices to gather user feedback and tweak the system for enhanced user experience.
The transformation delivered substantial improvements in AMSA's financial operations.
